Artscape is currently seeking an Events and Sales Assistant to join our team at Artscape Sandbox and Artscape Youngplace. The Events and Sales Assistant will be responsible for supporting sales and event services for Artscape Sandbox, a brand new 6,000 sq. ft. performance and event space, and Artscape Youngplace’s Flex Studios. This is a full-time position working 37.5 hours per week, Wednesday – Sunday. The work schedule will vary and will regularly include evenings and weekends.

Artscape Sandbox is designed to offer Toronto a unique downtown cultural space ideal for creative projects, performances, rehearsals, exhibitions, classes, meetings, and private and public events.  Artscape Sandbox will serve as a showcase for a wide range of professional arts practices including theatre, music, dance and visual art exhibitions. It will also welcome local businesses, residents and community arts groups for creative expression and lifelong learning opportunities, in addition to space for meetings, events and gatherings.  Located in a 6,000 sq. ft. main-floor space at 21 Widmer Street (Adelaide and Widmer Streets), Artscape Sandbox will open in Toronto’s Entertainment District in September 2015.

At Artscape Sandbox, the Events and Sales Assistant will support sales initiatives, on-site event supervision and sales administration as well as supporting event communications, community partnerships and special initiatives.

Part ideas laboratory, part creativity workshop, Artscape Youngplace is a community cultural hub located in Toronto’s West Queen West neighbourhood, with 75,000 square feet of space devoted to artistic inspiration, learning, growth and expression. The facility opened in 2013 after a major renovation and community consultation process, and is now home to over thirty arts organizations and individual artist studios. Artscape’s $17 million transformation of the building, a former school, was completed just before the centenary of its construction in 1914. Artscape Youngplace is named in recognition of a generous lead gift from The Michael Young Family Foundation. The artists and organizations inside the building represent a vibrant mix of art forms and cultural mandates and provide many programs and events to enjoy. The surrounding neighbourhood is one of the country’s most creative, and is a major centre for contemporary art in Canada. At Artscape Youngplace, The Events and Sales Assistant will support the administration of the Flex Studio rentals and events services, venue and event promotions, bookings and payment processing, venue tours and occasional event supervision. They will represent Artscape Youngplace in a positive and professional manner with the buildings’ artists and organizational tenants/owners, program participants, colleagues in other arts organizations, school and community members, and volunteers.

RESPONSIBILITIES:

Reporting to the Events and Sales Manager and the Program Manager at Artscape Youngplace/Artscape Sandbox, and working closely with other members of the Artscape team, the local community and clients, the Events and Sales Assistant will be responsible for supporting financial and operational goals at Artscape Sandbox and Artscape Youngplace.

Responsibilities include:

  • Supporting the achievement of sales targets through the implementation of venue marketing and sales initiatives for existing and potential clients
  • Conducting canvassing and cold-calls to increase effective working prospects; responding to inquiries and giving tours of spaces
  • Coordinating the booking, payment processing and organization of rentals and event services; maintaining program systems, databases and contracts including key card programming and distribution
  • Occasionally training and supervising support staff and volunteers
  • Participating in post-event analysis, budget recaps and participant feedback
  • Representing Artscape at meetings and events as requested
  • Other duties as assigned
  • Preparing spaces for upcoming rentals, including coordinating deliveries, allocating equipment and setting up furniture
  • Supervising public events, receptions and community programs in facility spaces
  • Publishing venue and event promotions on web and social media, and preparing on-site signage and communications

QUALIFICATIONS:

  • Event Management: at least one years’ experience in event and/or production management, preferably with a non-profit performing arts organization
  • Sales and Marketing experience: at least one year’s experience in sales and marketing, preferably in a venue-related business
  • Attention to detail and passion for administration: excellent administrative, finance and computer skills; establishing and meeting annual operating budgets; spreadsheet and database experience is essential
  • Communications: Strong social media and web skills as well as an ability to connect with community stakeholders and establish positive and productive ongoing relationships
  • High performance mentality: Able to thrive in a fast-paced environment with ambitious goals and multiple priorities
  • Informed: Smartserve Certification is essential, as well as familiarity with food handling/catering requirements, production/technical/equipment needs and industry best practices
  • Vision and creativity: ability to embrace an ambitious vision and bring it to life as well as trouble-shoot and solve problems under pressure
